Are you ready to make your boss’s job easier.  In fact, you’re so good at this that your C-level boss knows you can handle “it”!  You’ve got excellent relationships with senior management, board members and external constituents and they all know that you speak for the boss.  They also know you would never divulge anything confidential.  You’ve done this before-support a C-level executive and his/her team-and you’ve got the administrative, writing, interpersonal, time management and problem solving skills required.  You also exude a calm and professional demeanor and understand the juggling involved when supporting a busy executive. 


This job supports the Executive of a global of a soon to be $billion cutting-edge business.  It’s busy, exciting and interesting!  You will love working in our fast-paced and innovative environment. 


Even though this is a part-time position, it can easily grow to a full-time opportunity if candidate is interested. 


Responsibilities may include depending on projects:

  • Complete a broad variety of administrative tasks including: designing and producing complex documents and presentations; drafting reports; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements and competing expense reports, and sophisticated calendar management.
  • Provide ‘gatekeeper’ and ‘gateway’ role, providing a bridge for smooth communication between the executive and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.
  • Work closely with executive & senior management to keep them well informed of upcoming commitments and responsibilities, following up as appropriate. Anticipate the executive’s needs in advance of meetings, calls, etc.
  • Act as a liaison and provide support to the executive arrange and handle all logistics for their meetings and events: schedule meetings; post meeting notices to public and participants; draft agendas; develop, compile, and distribute presentation materials; and record and transcribe meeting minutes.
  • Participate as an adjunct member of the Executive Team, including scheduling and coordinating Executive Team meetings and other staff meetings and events as required. Communicates with staff on behalf of the Executive and represents them in designated meetings as required.
  • Serve as the primary point of contact for internal and external constituencies on different matters pertaining to the Executive, including those of a highly confidential or critical nature.
  • Provide administrative support for other key executives in organization.

Requirements:

  • Bachelor’s degree is desired, but not required
  • Significant executive support experience, including supporting C-level executives.
  • Exceptional organizational skills and impeccable attention to detail.
  • Ability to maintain a high level of integrity and discretion in handling confidential information.
  • Strong interpersonal skills and ability to demonstrate a high degree of professionalism in dealing with diverse groups of people, including senior executives, staff, and external business partners and constituents, including senior government officials.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Excellent time management and problem-solving skills.
  • Ability to react with appropriate level of urgency to situations and events that require quick responses.
  • Expert proficiency with Microsoft Office, including MS Word, Excel and PowerPoint along with Google Suites, Canva, Adobe Photoshop, or similar technology
  • Can easily navigate social media posts uploads & responses when needed
  • Ability to conduct research and present data in a succinct and well-written manner.
  • Excellent writing, editing, grammatical, organizational, and research skills
